AI Receptionist and Outbound Calling in Victoria

A migration agent in Melbourne's CBD fields the same visa-timing question thirty times a day in four languages, a vet clinic in Geelong has an after-hours line that goes to a nurse who is also asleep, and a rural supplier outside Bendigo knows which farmers will need drench in March and rings none of them. We build AI receptionists that answer those calls and book them into the system the practice already runs, and outbound agents that make the seasonal calls, on Melbourne time.

AI receptionist for migration agents

A registered migration agency in the CBD had two receptionists, clients who called in Mandarin, Hindi, Vietnamese and English, and a phone that mostly asked when a visa would be decided. The AI receptionist answers in the caller's language, checks the matter in the case system, tells them the stage it has reached and what is still outstanding, and books a consultation with the agent handling it when the question is about strategy rather than status. New enquiries are asked what visa they hold now and what they want, and are booked accordingly. The receptionists now do the paperwork the calls were interrupting.

After-hours triage for vet clinics

A small-animal clinic in Geelong diverted its after-hours line to a nurse's mobile, which meant every call about a dog that had eaten something woke someone at two in the morning. The agent now answers, asks what the animal has done and how it is behaving, follows the clinic's own triage list, and either books the first morning slot and texts the confirmation or puts the caller straight through to the on-call vet with the notes already read out. Owners who need the emergency hospital are given the address. The nurse sleeps through the ones about fleas.

Seasonal calls for rural suppliers

A rural merchandise store near Bendigo could tell you which of its four hundred farm accounts bought drench, seed or fencing wire last autumn, and had nobody free in March to ring them about this one. The agent works the list in the fortnight before the season, asks whether they need the same again, how much and when, quotes from the current price list, and books the delivery or the pickup. Farmers who have sold up or changed supplier say so and come off the list. The store found out about two of those before the truck was loaded.

Working with Victorian businesses

We scope over a call on Melbourne time, in whichever language your callers use, and build the agent to the wording and the hours you sign off. It connects to the case, clinic or accounts system you already run, is tested on recordings of your own callers, and every call is transcribed. A practice or store whose volume would be better served by a person on the desk is told so before the build.

What changes after launch

Faster response

Inbound leads and support requests get captured, routed, and answered while intent is still active.

Cleaner data

CRM records, task ownership, and reporting stop depending on manual follow-through.

Lower overhead

Repetitive admin moves automatically, so the team spends its time on revenue and customers.

Common questions

Does it work with LEAP or Smokeball?

Yes, and with Migration Manager on the migration side, so a status enquiry is answered from the matter itself and a new consultation is booked into the practitioner's own calendar with the file already opened. Systems we have not met get checked before the build rather than found out about during it.

Can the vet clinic use it only after hours?

It can. Many clinics keep their own reception during the day and switch the agent on at close, with the day's diary and the on-call roster read live so it books into tomorrow and knows whose phone to ring tonight. The switchover follows the clinic's calendar, so a public holiday behaves like a Sunday without anybody remembering to change it.

Will it understand rural addresses?

It is given your own customer list, with the property names, road numbers and the localities your drivers use, so a caller from Raywood or Sedgwick is matched to their account rather than asked to spell it. A property it cannot match is taken down as said and flagged for a person, not guessed at.
