AI Receptionist and Outbound Calling for Irish Businesses

A GP practice in Galway opens its phone lines at half eight and has a queue of nineteen before the first patient is through the door, and a solicitor in Cork loses a new client because the person who would have answered was in a consultation. We build AI receptionists that answer on an Irish number, book the appointment or take the instruction, and pass a person through when a person is what the caller needs, and outbound agents that ring the recall list, the overdue accounts and the quotes nobody had time to chase.

AI receptionist for GP practices

A four-doctor practice in Limerick had two people on reception, and at half eight in the morning both were on the phone while the queue at the counter grew. The AI receptionist took the phone line, booked the routine appointments into the practice software, put anything that sounded urgent straight through to a person with the patient's name already on the screen, and read the opening hours to the eleven people a day who only wanted those. The counter got its staff back. Patients who ask for a person get one, which is the part the practice manager checks first.

Reception for solicitors and accountants

A three-partner firm in Cork had cycled through two answering services and kept getting the same thing back, a message on an email that somebody read after the client had rung the firm across the road. The agent now answers, asks what the matter concerns, whether they are an existing client and how urgent it is, and books a call with the right partner or takes the details for a callback. Client calls, new instructions, couriers, and a steady trickle of people who wanted somebody else entirely.

Outbound calling for overdue invoices

A wholesaler in Dublin had a list of overdue accounts that everybody agreed needed ringing, and an accounts person who would rather do almost anything else. The agent works through it in the afternoons. It says which invoice it is calling about, asks whether it has been received and when it will be paid, takes the promise or the dispute, and hands the awkward ones to a person with the history attached. Most people pay when somebody polite actually asks. The accounts person now spends the time on the ones who do not.

How we work with Irish businesses

Scoping is a call on Irish time, the build follows the wording and the hours you sign off, and you hear recordings before the agent takes a live call. Data stays in the EU, calls are transcribed, and the agent writes back to whichever practice, case or accounts system you already run. If your call volume is low enough that a person on the desk makes more sense, we will say so before you spend anything.

Common questions

Does the agent comply with GDPR and Irish data rules?

Yes. Recordings and transcripts are stored in the EU, retained only as long as your policy says, and the agent tells callers it is an AI receptionist and that the call is recorded. Outbound calls follow the ePrivacy rules on consent and the National Directory Database opt-outs, and an opt-out given on a call is honoured from that moment across every campaign. We are not your DPO, so we build to the policy your business sets and document what the agent does with each piece of data.

Will it understand Irish accents and place names?

It is tested on callers from Kerry to Donegal before it goes live, and it is given your own list of local place names, surnames and services so it does not guess at Dún Laoghaire or Ballincollig. Where it genuinely cannot make out what a caller said, it asks once and then hands to a person rather than booking the wrong thing.

Do you work outside Dublin?

Everywhere in the country, because the delivery is remote and the agent answers on whichever Irish number you give it. Most of the practices and firms we work with here are outside the capital, where the receptionist is also the office manager and the phone is the thing that never gets a fair share of anyone's day.
